Privacy notice

Last updated 12 October 2026 · Applies to Ironwood Civil & Industrial Group, Inc. and its subsidiaries

1. Overview

This notice explains what personal information Ironwood collects, why we collect it, how long we keep it and what rights you have. It covers this website, telephone calls to our switchboard and offices, job applications, supplier and subcontractor records, and site visitors.

We are the data controller for information we collect directly. Where we act as a construction contractor for a client, some personal information, for example site induction and access records, is processed on that client's instructions.

Contact for any privacy question: ethics@ironwoodgroups.com or by post to the Privacy Officer, Ironwood Civil & Industrial Group, Inc., 4820 Brighton Boulevard, Suite 300, Denver, Colorado 80216.

2. Telephone calls, important

Calls to our main switchboard and emergency line are answered by an automated receptionist and are recorded and transcribed. This is the disclosure you will hear at the start of the call.

Why we record. To produce an accurate written record of what was requested, to route enquiries to the correct team, to allow us to check our own performance, and to keep an audible record where a call concerns a safety incident or a contractual instruction. Construction disputes are frequently decided on what was said and when.

What is captured. The audio of the call; a machine-generated transcript of both parties; the caller's telephone number where the network provides it; the date, time and duration; and any details you give us, typically your name, organisation, contact details, project location, scope and budget range.

How long we keep it. Call recordings are retained for 24 months and transcripts for 36 months, after which they are deleted. Where a call relates to a live claim, dispute, regulatory matter or personal injury, the relevant record is retained until that matter is finally resolved, then deleted.

Automated processing. Transcription and call handling involve automated systems, including speech-to-text and a conversational voice agent. These systems produce a record and route your enquiry; they do not make decisions about you with legal or similarly significant effects. You may request that a human being handles your enquiry at any point during or after a call.

Your choices. You can ask us to delete a recording or transcript, to send you a copy, or to note your objection to recording. Ask on the call, or email ethics@ironwoodgroups.com. If you object to recording and the matter cannot proceed without an audio record, we will take the details in writing instead.

3. This website

We do not run advertising trackers, third-party analytics or social media pixels on this site. There are no cookies set for marketing purposes and no data is sold or shared with advertising networks.

We do collect:

  • Enquiry forms. If you submit a bid request or contact form, we store the information you provide, name, organisation, role, contact details, project information and your message, together with the date, time and originating IP address. We use this to respond to your enquiry, to keep a commercial record, and to prevent spam and abuse.
  • Technical logs. Our web server records standard access logs including IP address, user agent and requested URL. These are retained for 30 days for security and troubleshooting, then deleted.
  • Call-click events. When you click a telephone number on this site, your browser sends a small anonymous event recording the number clicked and the page you were on. No identifier is stored and no profile is built. If your browser blocks the request, nothing is lost.
  • Local storage. A small preference (for example, a dismissed notice) may be stored in your browser. It stays on your device, is not transmitted to us, and can be cleared through your browser settings.

Depending on the context, we rely on the following:

  • Performance of a contract, delivering work, administering subcontracts and paying suppliers.
  • Legitimate interests, responding to commercial enquiries, maintaining records of verbal instructions, preventing fraud and protecting our people and sites.
  • Legal obligation, health and safety reporting, tax, employment law, federal contracting records and construction claims.
  • Consent, where you choose to submit a job application, or where you ask us to keep your details for future opportunities.

Where we rely on consent, you may withdraw it at any time without affecting the lawfulness of processing already carried out.

5. Job applicants

Application data, CV, application form, references, right-to-work documentation and interview notes, is retained for the duration of the recruitment process, plus 12 months in our talent register. If you want your details removed from the register sooner, email careers@ironwoodgroups.com and it is done without question. Where we make an offer, the resulting employment record is governed by our employee privacy notice, provided during onboarding.

6. Who we share information with

We do not sell personal information. We share it only where necessary:

  • Service providers acting on our instructions, under contract, telephony and voice services, email and hosting, IT support, insurance and legal advisers, and the transcription service used on our telephone lines.
  • Clients and engineers where a project requires it and to the extent the contract allows, for example site access, safety or quality records.
  • Authorities where we are legally required, or where disclosure is necessary to prevent serious harm or investigate a criminal offence.
  • Successor entities in the unlikely event of a corporate transaction. We would require any purchaser to honour this notice.

Some providers process information outside the United States. Where that happens, we use contractual protections and, where relevant, rely on recognised transfer mechanisms.

7. How long we keep information

  • Call recordings, 24 months; call transcripts, 36 months
  • Website enquiry records, 7 years, aligned with our contract records retention
  • Web server access logs, 30 days
  • Supplier and subcontractor prequalification records, 7 years after the relationship ends
  • Job applications, 12 months, or as you request
  • Site safety and incident records, 30 years, as required for occupational health purposes

8. Your rights

Subject to applicable law, you may ask us to:

  • confirm what information we hold about you and provide a copy;
  • correct information that is inaccurate;
  • delete information we no longer have a lawful reason to keep;
  • restrict or object to certain processing;
  • provide your information in a portable format;
  • withdraw consent where consent is the basis for processing.

Write to ethics@ironwoodgroups.com or telephone (303) 555-0142. We respond within 30 days and there is no charge. If you are in California, Colorado, Virginia, Connecticut or another state with a comprehensive privacy statute, you may also have rights to know about the categories of information collected, to opt out of targeted advertising or sale (we do neither), and to appeal a refusal, we will explain how in our response.

We will not discriminate against you for exercising a privacy right.

9. Security

Information is held on systems with access controls, encryption in transit, and audit logging. Access is limited to staff who need it for the purpose described. Call recordings and transcripts are stored separately from general file storage with tighter access restrictions. If a breach occurs that is likely to result in risk to individuals, we will notify affected parties and the relevant authorities without undue delay.

10. Children

This site is for business use. We do not knowingly collect information about children. Our careers pages are intended for people of working age.

11. Changes to this notice

If we make a material change to how we handle call recordings or personal information, we will update this page and change the date at the top. We do not use the notice to authorise new uses of information already collected.

12. Complaints

Tell us first, most concerns are resolved quickly. Write to ethics@ironwoodgroups.com. If you are not satisfied, you may complain to your state attorney general, to the Federal Trade Commission, or to your local data protection authority if you are outside the United States. We will cooperate with any such investigation.
